At our office in Dubai, we see many Schengen refusals, and you may be surprised to learn they’re usually not about money. Most stem from inconsistent paperwork. For example, a bank statement shows a salary not mentioned in the employment letter; a hotel reservation in Italy for an application submitted at the French consulate; or an insurance policy that provides coverage of EUR 25,000 when the rule requires EUR 30,000.
Here is the full list of documents UAE residents will need when applying in 2026, depending on your situation (salaried, self-employed, homemaker, or student). What the Schengen document list covers—and what it does not
The EU Visa Code establishes a basic set of documents that all Schengen consulates require. In addition, each member state has its own requirements and can ask for extra documents at the counter. So consider the list below a minimum, not the maximum.
One further point we should take into account before you begin gathering the documents is that the consulate is not assessing your wealth or income; it is merely trying to answer three questions: whether the trip is genuine and funded, whether the person concerned can afford it without having to work illegally, and whether this person will return to the UAE.
Keep in mind that each document you send should clearly answer one of those three questions.
Core documents every UAE applicant must submit
• Completed and signed application form: Fill the form in online with most consulates, then print it out and sign it; make sure that every box has been filled in, since leaving any blank may lead to questions.
• Two recent passport photographs: 35 millimetres by 45 millimetres, with a white background, taken within the past six months and without glasses, showing the ears.
• The original passport, which was issued in the past ten years, must remain valid for at least three months after you have left the Schengen area and should include at least two blank opposite pages.
• Copies of the visas obtained previously: Those for Schengen, the UK, the US, Canada, and Australia, as well as Japan. Having a clean travel record is one of the best things you can demonstrate.
• The travel medical insurance: should provide a minimum cover of EUR 30,000 and be valid in all 29 Schengen countries, paying for emergency medical treatment and enabling repatriation throughout the entire period of stay.
• Confirmed return flight reservation: A reservation, not necessarily a paid ticket – see the section below.
• Proof of accommodation: For every night of the trip: hotel bookings, an apartment rental agreement, or a host invitation.
• Day-by-day travel itinerary: A daily travel itinerary that matches your bookings.
• Cover letter: A cover letter in which you state who you are, the reason for your travel, who is financing it, and when you will be returning.
The UAE-specific papers that catch people out
These documents make a patent application submitted in the UAE different from one filed elsewhere, and they are the ones most often missing when a file comes our way for review.
• Emirates ID: original and a copy of both sides.
• Visa permitting: The visa permitting you to reside in the UAE must remain valid for at least three months past your date of return; if it is about to expire, you should renew it before applying. A residence visa that expires one fortnight after your date of return is a main reason for refusal.
• Certificate (NOC) from your employer: A no-objection letter on company letterhead and addressed to the consulate, stating the position you hold, the date on which you joined, your salary, the approved leave dates, and confirming that your job is secured for you. This is the most important document that links you to the UAE.
• Salary certificate: You need to have your salary certificate, since it is distinct from the NOC and it has to be one that was issued in the past month.
• Labor contract copy: Some consulates will ask, and most accept it as supporting evidence.
• Tenancy contract or Ejari: Your wealth, property, or a registered lease in the UAE could be a strong return signal.
Bank statement rules: how many months, what balance, whose account
Usually, consulates request that the personal bank statements covering the last three to six months should be stamped and signed by the bank; they must not be a printout from your app. The statements should show that your salary arrives regularly and that your balance is more than enough to cover the trip.
A minimum balance isn’t published for a Schengen visa; instead, each member state sets a daily amount sufficient for subsistence.
The cost generally ranges from 45 to 120 euros per person per day, depending on the country, and it will be lower if accommodation is already included. Calculate the length of your trip, multiply it by the daily rate, and make sure your budget comfortably covers the total with some extra money left over.
No matter the amount, two things can happen: a large deposit can appear in the final few weeks with no explanation, or a balance can swing from nearly zero to a healthy amount right before you apply.
When someone sends you money, they should include a brief note stating who it is and why, along with their bank statement if they are sponsoring the trip or for any other reason.
Travel insurance and the EUR 30,000 rule
Your insurance policy should cover at least EUR 30,000 in medical expenses and be valid in all 29 Schengen member states, including emergency hospital treatment and repatriation of remains.
It must also cover every day you are in the Schengen area, with a little extra on both sides.
Purchase the policy once your travel dates are decided and before your appointment; the certificate must include your full name, policy number, coverage amount in euros, and exact dates. A travel insurance policy obtained through your credit card will not be acceptable to a consulate unless you can provide a certificate with all these details.
When booking a flight and a hotel, should you make a reservation or buy a ticket?
You need a confirmed reservation, not just a purchased ticket. Consulates don’t want you to do that if you haven’t decided yet. You should have a flight reservation with a PNR from an airline or an agent, and it’s also normal and acceptable to have a hotel booking that offers free cancellation.
People struggle with gaps between documents; for example, if the itinerary states that you land in Milan on the 12th but your first hotel reservation is only from the 14th, you’ve created an unnecessary question. Plan for every night of your trip.
Different documents for different applicants
Salaried employees
NOC, salary certificate, labor contract, six months of bank statements, and if you have one, a copy of your pension or gratuity statement. This is the most straightforward profile and the highest approval rate.
Business owners and partners
You should provide a copy of your trade license, the Memorandum of Association, your company’s bank statements together with your personal ones, a VAT registration certificate where this applies, and your audited accounts if you have them; in your cover letter, write it in the first person and explain who is in charge of the business while you are away.
Homemakers and dependants
Since your spouse is going to be the one sponsoring you, they will also need to provide their full set of documents as well as yours; this includes their NOCC, salary certificate, and bank statements, together with a sponsorship letter, your marriage certificate (which must be attested), and your residence visa showing them as your sponsor.
Students
You need a letter from the school or university giving their no objection, stating your leave dates, along with your parent or sponsor’s full financial and employment documents.
Retirees
Pension statements, evidence of rental or investment income, and property documents. Although age is not a disadvantage, unexpected income can be detrimental in many ways.
Documents for children and minors traveling from Dubai
• The birth certificate should be attested and translated into English or the language used by the consulate if it is in another script.
• Copies of both parents’ passports and residence visas.
• School letter confirming enrollment and approved leave dates.
• If one of the parents is not traveling, then a notarised consent letter from the parent who is not traveling, along with a copy of their passport, is required. The document must be notarised in the UAE before applying.
• When a child is traveling with neither parent, letters of consent from both parents are required.
• Proof that the sponsoring parent can cover the child’s costs.
Nine document mistakes that get Dubai applications refused
• Insurance with a value of less than EUR 30,000 or insurance that does not provide coverage for the entire trip will result in an automatic rejection, a rejection which is completely avoidable.
• The residence visa will expire within three months of the date on which you return.
• A network operations center that does not have leave dates specified. The letter should state that specific leave has been approved.
• Bank statements printed from an app instead of stamped by the branch.
• A large unexplained deposit in the weeks before applying.
• Itinerary gaps – nights with no accommodation booked.

• Photographs that do not meet spec – wrong size, shadow on the background, or more than six months old.
• Documents in Arabic or another language without a translation when the consulate asks for English or its own language.

How long the whole thing takes
Once you submit your file, the consulate has 15 calendar days to decide, extendable to 45 in individual cases. The part people underestimate is getting an appointment in the first place, which in Dubai can add anywhere from a few days to several weeks depending on the consulate and the season.
